Frequent display issues with (related) lists

I am working on the service desk and on regular base we are getting issues about a particular user having problems with viewing records in a (related) list. In some situations a part of the list is not displayed, but we also get issues where a security constraint error message appears, while the issue is not directly caused by the security rules that were defined on the list. In this blog I will describe some of these issues and of course, I will also provide some steps you could check in case you may face a similar issue.

Is the “Upload File” module for images only?

A few years ago Service-Now decided to change the file upload functionality. If I am correct that was in the Berlin release. Before that version it was possible to upload any sort of file and customers were using this feature as some sort of repository.

Currently only images upload is supported in the system. If you look at the wiki page on the Upload File module ( https://wiki.servicenow.com/index.php?title=Legacy:Uploading_a_File ) you’ll see that it has been marked “Legacy” .The disclaimer says that this functionality has been replaced by “Storing Images in the Database”. As the name already indicates: this unfortunately only works for images and not for other types of files.

Where ServiceNow Export Limitations get defined…

As a support engineer I see a lot of export limitation issues. I thought it may be useful to create a small blog article for it.
So here it is. 😉

As a default, the maximum total of 50000 records is used for exports in an instance. This is done to prevent performance issues that may occur when users are querying the tables for their exports.
If you want to have more results in your export, ServiceNow recommends to break the export into smaller, incremental chunks.

This default export limit can be defined in a system property “glide.ui.export.limit” which has a default value of 50000. You can of course increase this amount, however be aware that there is a performance reason for having this property!

Unfortunately, this property does NOT apply to all exports and there are other limits and properties as well that you should be aware of..

Activate a stuck workflow which “hangs” on activity timer

In some situations it might occur that a workflow gets stuck. This is the case if the workflow is waiting for an action (or condition) that will never take place. Unfortunately there isn’t one generic solution for this as it could have been caused by several situations and with different workflow activities.
That’s why it can be quite painful to solve this kind of issues. However, there is some good news if the workflow “hangs” on an activity timer!

Workflow timer activities are calculated and after that scheduled as a scheduled job. They are waiting to receive a trigger at a specific time so the workflow can “jump” to the next activity.
On our supportdesk we sometimes see that the scheduled jobs (which should perform the trigger action) are not available (anymore).

So in fact these workflows will wait forever!

Fortunately it isn’t that hard to start the workflow in these situations. What we need to do is create a new scheduled job for it, so the activity will be triggered again.

Let’s use an example of a change record that has a “stuck” timer activity in the workflow.

Categorizing and maintaining your System Properties

I am working on the support desk and sometimes customers ask us how to maintain the system properties on a configurable page, so they can be easily set instead of changing the property directly in the sys_properties table. A page, just like the out-of-the-box “Email Properties” page for example.

As there isn’t much information about this on the official Service-now.com Wiki site, I thought : “This is a nice idea for a blog article”. Besides that, it is very easy to accomplish. 😉
